Hello, everyone.

Welcome back to TalkCast Speaking, your favorite spot to polish your English and boost your confidence.

I'm your host, Emma.

Today, we are diving into a topic that almost everyone in the modern workplace has to face, VIP

video calls.

Whether it's an online job interview, an important presentation, or a high -stakes meeting with a VIP

client, doing it over a camera can be nerve -wracking.

But don't worry, we've got you covered.

Hi, Emma.

Hi, everyone.

Oh, you have no idea how timely this topic is for me.

I actually have a major Zoom presentation tomorrow with one of our company's biggest VIP clients,

and my palms are already sweating just thinking about it.

I'm so afraid of making a fool of myself.

Oh, Daniel, take a deep breath.

You are definitely not alone.

Many people feel twice as nervous speaking English when there's a camera and a screen separating

them from their audience.

It's great to have you here today.

What specifically is making you feel anxious about tomorrow's VIP call?

Well, first of all, the technical stuff.

What if my connection freezes, or what if I can't hear them, or they can't hear me?

I usually just say, hey, please open your voice, or can you see my face?

And I know that sounds super awkward and unprofessional.

Plus, I want to sound polite and respectful, since they are very important clients. Ha!

Open your voice and can you see my face?

I love those.

They are classic examples of literal translations from Chinese.

But you're right.

On a VIP call, we want to sound polished and professional.

So let's use today's episode as your ultimate rehearsal.

We'll build a scaffold of great expressions, starting from the basic setup and tech issues, moving

to polite conversation, and finally, doing a live simulation.

How does that sound?

That sounds absolutely perfect, Emma.

I'm ready to learn.

Where do we start?

Let's start right at the beginning of the call, the connection and tech setup.

This is where most people get tripped up.

Daniel, imagine the call starts and you can see the client, but you can't hear them.

What would you naturally say?

Hmm, I would probably say, sorry, I cannot hear you.

Please open your microphone.

Ah, okay.

Let's look at that.

Open your microphone is something almost every Chinese learner says, because in Chinese we say, dock

high microphone.

But in English, we don't open electronic devices like microphones or cameras, unless we are

literally unscrewing them with a screwdriver.

Instead, we use the phrasal verbs turn on or unmute.

Let's practice that.

Repeat after me.

Unmute yourself.

Ah, unmute yourself.

That sounds so much more natural. Exactly.

If someone is speaking, but you can't hear them because their mic is turned off, of very common,

friendly, yet professional phrases, I think you're on mute.

Let me say that again.

I think you're on mute.

It's polite because you aren't saying you made a mistake, but rather, I think you're on mute.

It saves face for everyone.

Oh, you're on mute.

I love that.

It's so gentle.

What if it's the other way around?

What if I want to make sure they can hear me and see me clearly right at the start?

Great question.

Instead of, can you see my face, which sounds a bit too personal, you can say, can everyone see and

hear me okay?

Or a slightly more formal way, am I coming through clearly?

Let's pay attention to the pronunciation here.

Coming through has a nice linking sound.

Coming through.

Can you try saying that, Daniel?

Let me try.

Am I coming through clearly?

Did I get the link right?

Spot on.

Beautifully done.

And what about your video?

Instead of open your camera, we say turn on your camera or start your video.

For instance, you could say, let me turn on my camera or I'm starting my video now.

Okay, got it.

Turn on the camera and unmute.

What if my internet is lagging or their screen freezes?

That always makes me panic.

Ah, the dreaded internet glitch.

It happens to the best of us.

When the connection is bad, don't say, my internet is bad or your internet is terrible.

That sounds a bit too blunt, right?

Instead, you can blame it on the connection or bandwidth.

You can say, my connection is a bit unstable or I think we have a slight lag.

Lag is L -A -G, which means a delay in the audio or video.

Oh, unstable connection and lag. Yes.

Sometimes people's voices sound like robots and then they completely stop moving.

How do I describe that?

If they stop moving, they are frozen.

You can say, oh, your screen is frozen.

And if their voice is cutting in and out like a robot, we say, you're cutting out or your audio is a

bit choppy.

Choppy is a wonderful word here.

It means broken or disconnected like waves on a rough sea.

So you could say, sorry, your audio is a bit choppy.

Could you repeat that last part?

Wow, choppy and cutting out.

Those are incredibly useful.

Let me try to use them in a sentence.

Sorry, Emma, you are cutting out.

Your audio is a bit choppy.

Could you say that again?

That was perfect, Daniel.

You used cutting out and choppy beautifully.

And you asked me to repeat politely.

This brings us to our next level on the scaffold, polite phrases and transitions for VIPs.

Yes, please.

Since this is a VIP client, I want to make sure I don't sound rude if I have to interrupt them due

to technical issues or if I need to share my slides. Exactly.

Politeness on a video call often comes down to using modal verbs like would, could, and may.

If you need to interrupt because of a bad connection, don't just shout, wait, I didn't hear.

Instead, use a polite buffer.

You can say, sorry to interrupt, but you cut out for a second.

Would you mind repeating that?

Notice how would you mind is followed by a verb ending in ing.

Would you mind repeating that?

Ah, yes.

Grammatically, it's would you mind repeating, not repeat.

从语法上讲,应当是 would you mind repeating,而不是 repeat。

That's a classic mistake I often make.

Would you mind repeating that?

I will write that down.

Great job noticing that grammar point.

Now, what about sharing your slides?

This is a huge moment in any VIP presentation.

Daniel, how would you normally transition to sharing your screen?

I usually say, now I share my screen.

Look at this.

Ha ha.

Look at this is a bit too casual and direct for a VIP client.

It sounds like you are showing your friend a funny meme on your phone.

For a professional presentation, we want to guide our audience smoothly.

A great phrase to use is, I'm going to share my screen now.

Please let me know if you can see it.

Once you share it, you can ask, can everyone see my slides?

Oh, that sounds so polished.

I'm going to share my screen now.

Please let me know if you can see it.

It gives them a moment to adjust their window too. Exactly.

It's all about user experience.

And speaking of transitions, what about starting the meeting when you are waiting for people to join?

For VIP calls, we often have to wait a couple of minutes for everyone to log in.

How do you handle that awkward silence?

Oh, that silence is the worst.

I usually just sit there smiling awkwardly at the camera.

It feels like an eternity.

Is there some professional small talk I can use?

Yes, definitely.

Don't let the silence freeze the room.

You can acknowledge the wait politely.

You can say, let's give everyone another minute or two to hop on.

Hop on is a very common natural phrasal verb meaning to join an online meeting.

While you wait, you can make simple small talk.

For example, how was the weather over there today?

Or how has your week been so far?

Ah, hop on.

啊,加入(hop on)。

I love that phrasal verb.

Let's give everyone another minute to hop on.

That sounds so confident like a native speaker.

And the small talk questions are so simple but effective to break the ice. Indeed.

And once everyone is joined, you can officially kick off the meeting.

You can say, now that everyone is here, let's get started.

Or let's kick things off.

Kick things off is a very common idiom in business.

It means to start a project or a meeting.

So let's kick things off.

That is awesome.

Emma, this is also helpful, but I'm a bit worried I'll forget everything when the actual pressure is

on tomorrow.

That is completely normal, Daniel.

And that's why we are going to do a quick practice run right now.

I will pretend to be your VIP client, Mr. Henderson.

And you are hosting the meeting.

I will throw a couple of realistic tech issues at you and you have to handle them using the phrases

we just learned.

Are you ready?

Oh boy.

Okay, let's do it.

I'm ready. Excellent.

Let's start.

In a formal voice.

Hello, Daniel.

Thank you for setting up this call today.

Hello, Mr. Henderson.

Thank you for your time.

Let's give everyone another minute to hop on.

Oh, actually, it's just the two of us today.

So let's kick things off.

Perfect start, Daniel.

Now, I'm going to pretend to mute myself and talk without sound.

Oh, Mr.

Henderson, I can see you speaking, but I cannot hear you.

I think you are on mute.

Could you please unmute yourself?

Sorry about that.

I didn't realize my mic was muted.

Can you hear me now?

Yes, I can hear you perfectly now.

Am I coming through clearly as well?

Yes, loud and clear.

Now, Daniel, let's talk about the proposal.

Actually, I think the proposal has some very important...

Sorry to interrupt, Mr.

Henderson, but your audio is a bit choppy.

You cut out for a second.

Would you mind repeating that last part about the proposal?

Oh, sure.

I said the proposal has some very important updates.

Let me turn off my video to save bandwidth.

Is that better?

Yes, much better.

Now, I am going to share my screen to show you the new slides.

Please let me know if you can see them.

And scene.

Oh, Daniel, that was absolutely brilliant.

You handled every single issue flawlessly.

How did that feel? Wow.

Honestly, Emma, that felt amazing.

Using those phrases made me feel so much more in control.

Instead of panicking and saying, your voice is bad, saying, your audio is a bit choppy, or I think

you're on mute, felt incredibly natural and professional.

I feel 100 % more confident for tomorrow.

You should be proud of yourself, Daniel.

You did fantastic.

You went from being nervous and using direct translations to using polished, idiomatic English in

just a few minutes.

That is the power of scaffolding and deliberate practice.

Thank you so much, Emma.

I couldn't have done it without your guidance.

I can't wait to try these out tomorrow.

You're going to rock that meeting, Daniel.

Before we say goodbye today, let's do a quick recap of the core phrases we learned for our listeners. Remember.

First, instead of open your mic or open the camera, use unmute yourself or turn on your camera.

首先,不要说 open your mic 或 open the camera,要使用 unmute yourself(取消静音)或 turn on your camera。

And if you suspect the other person is muted, politely say, I think you're on mute.

I think you're on mute。

Second, if the connection is poor, describe the sound as choppy or say, you're cutting out, and use,

would you mind repeating that to ask them to say it again?

would you mind repeating that(您介意重复一下吗)来请对方再说一遍。

Third, when starting the meeting, say, let's give everyone another minute to hop on.

第三,开会时可以说 let's give everyone another minute to hop on(再给所有人一分钟时间上线)。

And let's kick things off to get started.

And finally, when showing slides, say, I'm going to share my screen now.

I'm going to share my screen now。

Please let me know if you can see it.

These are truly lifesavers.

They really are.

For all our listeners out there, we encourage you to practice these phrases aloud before your next

big online meeting.

Roleplay with a colleague or even in front of a mirror like Daniel did today.

It makes a world of difference. Absolutely.
